Position: Executive Assistant
Summary:
As the Executive Assistant to the CEO, you will play a vital role in the smooth functioning of the executive team, supporting the CEO's efforts in leading our client to new heights of success. Your dedication and expertise will contribute significantly to the company's overall productivity and organizational efficiency.
Job Duties and Responsibilities:
Schedule Management:
Coordinate and manage the CEO's daily, weekly, and monthly calendars efficiently.
Schedule meetings, appointments, and conference calls, ensuring optimal use of time and resources.
Proactively identify and resolve scheduling conflicts to maintain a smooth workflow.
Governance Implementation:
Assist the CEO and executive team in implementing and monitoring corporate governance policies and procedures.
Collaborate with different departments to ensure compliance with governance guidelines.
Travel Arrangements:
Plan and organize all travel arrangements for the CEO, including flights, accommodations, ground transportation, and itineraries.
Ensure travel plans align with the CEO's schedule and business priorities.
Communication and Documentation:
Act as a liaison between the CEO and VPs, facilitating communication and ensuring important messages are relayed accurately.
Assist in recording and documenting crucial discussions, decisions, and action items during meetings.
Prepare meeting materials, presentations, and reports as needed.
Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion and professionalism.
Safeguard company secrets, strategic plans, and any proprietary information.
Event Coordination:
Assist in organizing company events, board meetings, and other corporate functions as required.
Qualifications:
Proven Experience:
Previous experience as an executive assistant supporting C-suite executives is preferred.
Familiarity with corporate governance practices and protocols is advantageous.
Organizational Skills:
Exceptional organizational and time management skills to handle multiple tasks and priorities effectively.
Strong attention to detail to ensure accuracy in scheduling and documentation.
Communication and Interpersonal Skills:
Excellent written and verbal communication skills.
Ability to interact professionally with internal and external stakeholders.
Problem-Solving:
Demonstrated ability to anticipate challenges, find solutions, and take proactive measures.
Tech-Savvy:
Proficiency in office productivity software (e.g., Microsoft Office Suite, Google Workspace) and scheduling tools.
Discretion and Integrity:
Trustworthiness and the ability to handle sensitive information with confidentiality.
